For our office in Brussels we are looking for an Administrative project coordinator (100%)

Starting date: As soon as possible, ideally February 2025

Job purpose

You will provide administrative support to the coordination and implementation of Horizon Europe projects. In the first place, you will be responsible for the overall administrative coordination of Horizon Europe projects: OrganicClimateNet and others. The aim of the first project is to build a pilot network of organic farmers who adapt and implement carbon farming activities. The scientific coordination of these projects lies with your colleagues in FiBL Switzerland. Depending on the needs, you will provide support to other projects, or help with Grant Agreement Preparation and organisation of project meetings.

Your role and tasks

Coordination of OrganicClimateNet (35-40%)

  • Ensure effective implementation of all project tasks

  • Ensure effective and smooth internal communication in the project

  • Organise project meetings and outreach events for the project

  • Ensure delivery of deliverables, milestones and technical reports towards the EU’s Research Executive Agency (REA). Provide any required documentation

  • Provide administrative guidance towards the partners

  • Occasionally travel to project sites and events outside Belgium

Support to other (Horizon Europe) projects (60-65%)

  • Similar tasks as above

  • In collaboration with colleagues in Switzerland, manage the overall budget of the projects

  • Collect financial reports of partners and ensure correct submission towards REA.

  • Assist with Grant Agreement Preparation

  • Provide support to other projects as required, e.g. organisation of project meetings, project reporting (technical and financial), data management, project documentation, communication & dissemination

Your experience - essential

  • Master’s degree

  • Solid experience (4-5 years) in administrative and financial management of projects funded under Horizon 2020 or Horizon Europe

Your experience - desirable

  • Understanding the key principles and practices of organic agriculture

  • Understanding the challenges related to climate change mitigation and adaptation in agriculture

Your skills

  • Able to give guidance and be demanding towards project partners

  • Able to navigate through contractual agreements and administrative requirements

  • Strong organisation skills, respect of deadlines and high level of initiative

  • Strong interpersonal communication skills, self-motivation, adaptability and a desire to work as part of a team;

  • Excellent writing and verbal skills;

  • Able to work in an intercultural environment

  • Curious & creative

  • Excellent English (CEFR Proficient User C1)

  • Knowledge of German is considered an advantage (CEFR level B1)

  • Knowledge of French is an asset (CEFR level B1)
