About the International Climate Politics Hub (ICPH)

The ICPH brings together a global network of actors to catalyze climate action, especially of national governments in the context of the implementation of the Paris Agreement, working in cooperation with partners to ensure that opportunity – directly or indirectly related to climate – leads to strong climate plans and collaboration. The ICPH is managed and supported by a Secretariat team housed in, and forming part of, the European Climate Foundation’s International Portfolio. The ICPH Secretariat helps guide and manage the strategy, activities, and impact of its global network, as well as delivering the regranting strategy that supports many of the Hub’s activities and experts.

About the role

We are looking for a Programme Assistant to support our work as the International Climate Politics Hub (ICPH) Secretariat. This is an exciting opportunity for someone with an interest in global climate action and collaborative networks for change. The Programme Assistant will play a critical role in ensuring the smooth running of the ICPH Secretariat team and its global network, through team administration and coordination, and in helping organize and deliver important events and convenings. This role will suit a candidate with excellent organizational capabilities and attention to detail who is looking to grow and develop a career in climate action and/or managing global, collaborative networks.

Key responsibilities

Key responsibilities of the Programme Assistant role include:

  • team support and administration – lead on project administration duties, including timely organisation and scheduling of calls, team meetings, diary and travel support for the ICPH Director and senior team members; thorough and well organised capturing, synthesising and filing of notes and action points;

  • team organization – helping the team to deliver on our strategy through managing and updating of various team organisation tools such as slack, sharepoint, google drive as well as some elements of the ICPH website;

  • event coordination and delivery – lead on organization of meetings, international retreats, network receptions, conferences (in-person and virtual) for our global network;

  • communications management – managing, with great attention to detail, the ICPH contact database and mailing tools ensuring they are kept up to date, fielding any issues that arise and ensuring all systems are functioning to their full potential; managing tools to send briefings; ensuring website is functional and coordinating with website management consultant; ensuring all communications channels are interconnected; being contact point for the network in case of any issues; developing and maintaining network and partner communication tools, guides, etc.

  • network management and relationship building – be our friendly first point of contact for our global network, partners and allies; helping to field and direct enquires and guide our partners; being our first point of contact for other ECF colleagues, CEO Office, etc)

Requirements

Experience and competencies

  • Demonstrated interest in the mission and values of the ECF and ICPH;

  • Experience working in a similar position in a fast moving and complex environment

  • Excellent attention to detail, diligence and reliability;

  • Excellent organizational and time management skills, with a proven ability to work flexibly, well under pressure, take initiative for managing own workload and be a creative problem-solver;

  • Ability to achieve efficient, timely, quality results by directing efforts on expected outcomes, while remaining ready to learn and receive feedback.

  • A team-minded attitude, excellent coordination and cooperation skills to work harmoniously with a tight-knit and highly collaborative team;

  • Excellent communication and collaboration skills, readiness to engage positively, diligently, patiently and efficiently with partners across cultures and regions;

  • Enthusiastic personality, with can-do, proactive attitude, and ability to think openly and creatively to find solutions.

  • Availability to travel internationally and to work across time zones while maintaining a healthy work and life balance.

  • Experience maintaining databases, integration systems and websites, and with tools such as Slack, Airtable, and Kit would be advantageous.
