POSITION SUMMARY

Conservation International (CI) and our partner The Nature Conservancy are pioneering a new initiative to save our coastal ecosystems while driving economic growth by establishing a Blue Carbon Positive Business Model Activator (BC+). BC+ goes beyond traditional carbon credits, focusing on sustainable, economically viable business models with broad applicability that benefit both the environment and the people who depend on it. By creating regenerative blue carbon businesses, BC+ aims to provide local incentives through economic growth and coastal protection, promoting a transition to a more sustainable and prosperous future where nature and humanity thrive together.

The Blue Carbon Positive Business Models Coordinator will be part of a fast-paced, collaborative, and dynamic team, and will work closely with internal and external partners, including collaborating with CI experts in the Center for Natural Climate Solutions, the Center for Oceans, the Conservation Finance Division, and the International Blue Carbon Institute. The Coordinator will also work directly with their counterpart at TNC.

The BC+ Coordinator provides administrative, operational, and project support to BC+ leadership in the Center for Oceans at Conservation International as well as to the broader BC+ multi-institutional team as needed. This position may provide technical support to the BC+ program, including research into potential business models. Tasks may encompass supporting the development and management of contracts for consultants and vendors, supporting budget management, and managing a database of technical experts that will support program activities. Additionally, aiding in project start-up activities such as implementing project management plans, developing trackers, drafting communication materials, managing project documentation through shared platforms, and coordinating calendars, workshops, and meetings are key aspects of this position. The Coordinator may support the technical team on project implementation, including conducting research and drafting reports and/or creating presentations, as well as assisting with project monitoring, compiling data, and maintaining the project management system.

The ideal candidate has experience in administration and operations, with the ability to make independent judgments related to administrative matters and the ability to communicate effectively, both orally and in writing, with all levels of management both inside and outside of CI. This position requires excellent administrative skills, superior relationship-building skills, the ability to multi-task, and the ability to handle confidential and sensitive information with the highest degree of professionalism. This may include organizing conference calls, meetings, trainings, workshops, social events and managing agendas, logistics, minutes, reporting, and processing travel reimbursements and related expenses.

RESPONSIBILITIES

Meeting and Workshop planning, implementation, and coordination:

  • Support planning for meetings, workshops, and social events, including venue rental, travel logistics, material coordination, organizing vendors, and suppliers.

  • Coordination, material circulation, note-taking and other support for meetings as needed

Administrative Support:

  • Support travel booking and logistics for senior staff

  • Support meeting scheduling and calendar alignment, including for senior staff

  • Responding to e-mails on behalf of the senior staff, as appropriate.

  • Process expense reports for senior staff

  • Curate and maintain organized shared folders structure and files

Operational Support:

  • Maintain donor reporting schedule and requirements

  • Timesheet and accounting code management for senior staff

  • Prepare Travel Agreements

  • Process Travel Reimbursements and invoices

  • Support managers with internal reporting

Project Support:

  • Conduct research as needed

  • Support presentation development, donor reporting and data and knowledge management as needed

  • Track and update project management platform (Monday.com)

  • Perform related duties as assigned

  • Curate and maintain shared team folders and documents – internal CI sharepoint, CI-TNC Box shared folders

  • Other duties as assigned by supervisor.

WORKING CONDITIONS

Office environment, may need to work extended hours. May require domestic and international travel.

This position follows a hybrid work structure, working some days from the office and some remotely. Guidance will be shared during the interview process.

QUALIFICATIONS

Required

  • 2 to 4 years of related experience

  • Proficiency and experience working with Microsoft Office collaboration tools

  • Strong written and verbal communication skills. Solid attention to detail and proofreading skills.

  • Ability to function well in a multicultural, diverse, and fast-paced work team environment.

  • Comfortable managing multiple duties and adaption to changing priorities.

  • Service focus. Courteous, tactful, and proven ability to work effectively with others.

  • Ability to work under general supervision and take initiative to solve problems under supervisor's direction.

  • Positive attitude and ability to overcome obstacles to achieve ambitious targets.

Preferred

  • Passion for nature and preferably the ocean.

  • Technical knowledge of oceans, coastal ecosystems, business models.

  • Fluency in French, Portuguese, Spanish or other languages.

  • Bachelor’s degree or commensurate work experience.
